Equipment Manager Position

Job Location: Texas + California

Job Type: Full-Time

Job Description:

1. Equipment Oversight & Asset Management

  • Maintain an accurate inventory of all heavy equipment, vehicles, and tools.

  • Track equipment utilization, hours, mileage, and life cycle costs.

  • Schedule and coordinate preventive maintenance, inspections, and repairs.

  • Oversee equipment allocation and dispatch to job sites, ensuring proper availability.

  • Monitor warranties, service agreements, and OEM compliance.


2. Maintenance & Repairs

  • Develop and enforce maintenance schedules to minimize downtime.

  • Supervise in-house mechanics and manage relationships with outside repair vendors.

  • Diagnose and resolve recurring equipment issues, ensuring root-cause fixes.

  • Implement safety checks and compliance protocols before equipment is deployed.

  • Ensure all equipment meets regulatory and client-specific safety standards.


3. Financial & Cost Control

  • Prepare budgets for equipment purchase, rental, leasing, and repairs.

  • Analyze cost-per-hour and ROI of owned vs. rented equipment.

  • Approve invoices for parts, fuel, and maintenance vendors.

  • Recommend equipment replacement, resale, or retirement strategies.

  • Partner with accounting/finance to align depreciation schedules and tax strategies.


4. Operations & Logistics

  • Work closely with project managers and dispatch to forecast equipment needs.

  • Ensure equipment is delivered, set up, and returned efficiently between projects.

  • Manage fueling operations, oil sampling programs, and telematics tracking.

  • Oversee compliance with DOT, OSHA, and state equipment transportation laws.

  • Coordinate with Heavy Haul (PHH) for transport planning and permits.


5. Leadership & Team Management

  • Lead equipment operators, mechanics, and yard staff; provide training and mentorship.

  • Establish SOPs for equipment use, maintenance, and reporting.

  • Promote a culture of safety, accountability, and preventive care.

  • Conduct performance reviews and workforce development planning.


6. Compliance & Risk Management

  • Ensure all equipment is properly licensed, registered, and insured.

  • Maintain environmental compliance (fuel storage, emissions, spill prevention).

  • Oversee safety inspections, accident investigations, and corrective actions.

  • Maintain documentation for audits, insurance claims, and regulatory inspections.


7. Technology & Data

  • Implement and oversee telematics and GPS systems for tracking equipment performance.

  • Use reporting tools to monitor idle time, fuel efficiency, and operator performance.

  • Provide weekly/monthly reports on fleet health, costs, and utilization.

  • Recommend technology upgrades (apps, ERP modules, AI predictive maintenance).
